Global Mobility Coordinator
The Global Mobility Team facilitates the movement of our people on short-term, long-term secondments and permanent transfers to DLA offices around the world.
This role will provide case management support to the Senior Global Mobility Advisors to deliver a quality service to stakeholders.
Main duties and responsibilities
Case management. Under the supervision of a Senior Global Mobility Advisor:
- Accountable for end-to-end global mobility cases across DLA International and any secondments or transfers that involve DLA International and a BIF or DLA Piper US LLP. This includes, but is not limited to, providing policy and process advice to the business, scenario planning and cost comparison, secondment documentation.
- Advising and facilitating immigration permissions to enable secondee/transfers to work in the host country. This includes initiating vendors for work permits, visa, and residence permits plus ensuring documentation is collected and extensions are tracked.
- Coordinating vendor services in line with visa approval and relocation start date. The relocation services include temporary accommodation search and booking, shipment of household goods, home search, settling-in services and school search in the host location.
- Ensuring that cost projection estimates are robust, actual costs are recorded and that individual case files are comprehensive enabling other teams (e.g. tax) to carry out their responsibilities.
Team support:
- Monitoring the Global Mobility inbox either responding to enquiries personally or allocating to a colleague to ensure they are resolved in a timely manner.
- Maintaining global mobility tracker and on an ongoing basis improving the quality of that tracker.
- Producing data analytical reports on both a regular and ad-hoc basis.
- Processing invoices in a timely manner balancing the firm's accounts payable policy with suppliers' contractual expectations.
- Leveraging technology and mobility management tools to streamline processes and improve efficiency
- Proactively contribute to broader Reward Team debate to ensure that we do not operate in specialism silos but rather as a coherent, effective and value adding centre of excellence.
- As required support broader reward team project to support the delivery of the HR strategy.
- As required support other teams during peak workload periods (e.g. salary review).
About you
- Knowledge and experience of Global Mobility related environment (e.g. HR, Regulation, Tax or Finance).
- Understanding of the legal and regulatory requirements related to international relocation.
- Experience working cross-functionally with HR, Finance and Compliance teams.
- Ability to multi-task and manage multiple priorities and deadlines under supervision.
- Ability to handle confidential and personal information professionally and discreetly.
- GCSE Maths and English Grade 4 and above or equivalent
- Knowledge of Microsoft Office Suite
