Evening Assistant
Role purpose
The Evening Assistant provides general administrative and support services for lawyers within the evening shift team. This role requires a solid understanding of standard tasks and the ability to deliver them efficiently. Key strengths include proactivity, autonomy, and a results-oriented approach. Proficiency in company systems and tools (particularly Microsoft Office is essential).
Main duties and responsibilities
- formatting simple, but also very complex and complicated documents (in Microsoft Word), including due diligence reports and other documents requiring the merging of documents formatted in different styles and using different templates
- providing proactive support to lawyers in collaboration with the marketing team during the proposal process; preparing proposals (usually in PowerPoint) with lawyers, based on materials prepared by the marketing team
- electronic documents archiving (iManage)
- active participation in transaction closings and other events requiring work with multiple printed documents and coordination of various activities cooperation with the correspondence department – organizing postal and courier deliveries and collections; preparing documents before sending them in cooperation with lawyers (scanning, copying, stamping, handing over documents to correspondence team once they're ready); active cooperation in receiving incoming postal correspondence; if necessary, delivering correspondence to the post office
- requesting documents' translations from agencies and proactively coordinating the terms and details of each assignment
- organising travel itineraries for lawyers through travel agency, including making and confirming reservations, booking flights, ensuring timely check-in, booking hotels, taxis, transfers, etc.
- submitting conflict search forms before clients and matters opening in our systems; clients and matters registration
- preparing responses for audit letters
- helping other assistants' teams while another evening assistant is absent
- taking initiative in volunteering for tasks; identifying training needs and continuously developing competencies by handling increasingly complex tasks and consulting with more experienced Assistants on best practices and proven methods
About you
- Previous experience in a similar administrative role
- English proficiency at B2 level or higher
- Ability and willingness to work in a team
- Proficiency at Microsoft Office
- Strong communication, organizational, and prioritization skills
- Diligent, detail-oriented, and flexible approach to tasks
- Positive attitude and commitment to task completion
- Willingness to learn and develop new skills
